Come trattiamo i tuoi dati
Informativa ai sensi dell'art. 13 del Regolamento UE 2016/679 (GDPR). Versione del 16 settembre 2026.
Chi è il titolare

Cosa raccogliamo
- Se ti firmi: il testo della proposta, il tuo identificativo aziendale, la data (non l'ora) e il canale da cui scrivi (Teams, QR, tablet).
- Se scegli l'anonimato: solo il testo e la data. Verifichiamo che tu sia un collega al momento dell'invio, poi il tuo nome non viene salvato, né l'ora, né il canale.
- Se registri un vocale: l'audio serve solo a ottenere il testo, che rileggi prima di inviare. L'audio non viene conservato.
- Se indichi quanto tempo ti fa perdere: la frequenza e la durata che scegli, facoltative, che non dicono niente su chi sei.
Ti chiediamo di descrivere problemi e processi. Se parli di un collega, la proposta resta visibile solo a Gabriele Salvatori e non viene mai pubblicata.
Perché
Per migliorare il modo in cui lavoriamo: capire cosa fa perdere tempo e trovare soluzioni. La base giuridica è il legittimo interesse della società a migliorare i propri processi (art. 6.1.f GDPR). Partecipare è volontario: non scrivere non ha alcuna conseguenza.
Le proposte non servono a valutare le persone, né chi scrive né chi viene nominato, e non sono mai la base di provvedimenti disciplinari. Non teniamo statistiche di partecipazione per persona.
Chi legge
- Proposte private e anonime: solo Gabriele Salvatori.
- Proposte pubbliche: tutti i colleghi, con il tuo nome.
- Fornitori tecnici, che trattano i dati per nostro conto e con obblighi contrattuali: Microsoft, per l'hosting su Azure nell'Unione Europea, l'accesso con l'account aziendale, la trascrizione dei vocali e l'analisi del testo (Azure OpenAI). L'analisi può essere elaborata anche fuori dall'Unione Europea, sull'infrastruttura globale di Microsoft, con le garanzie contrattuali previste dal GDPR. Al servizio di analisi arriva solo il testo, mai il tuo nome.
Il ruolo dell'intelligenza artificiale
Un assistente AI legge il testo, prepara una prima risposta firmata come tale e un riepilogo per Gabriele. Non prende decisioni: ogni decisione sulla proposta la prende una persona.
Per quanto tempo
- Il testo originale di una proposta che riguarda un collega, e le risposte scritte a partire da quel testo, vengono cancellati dopo 30 giorni; resta solo la descrizione del problema di processo.
- Le altre proposte si conservano per 24 mesi, poi si cancellano, salvo quelle adottate che entrano nella galleria con il consenso di chi le ha proposte.
I tuoi diritti
Puoi chiedere accesso, rettifica, cancellazione, limitazione o opporti al trattamento dei dati che ti riguardano (artt. 15-21 GDPR) scrivendo all'amministrazione del personale. Per le proposte anonime non possiamo collegare una richiesta a una proposta, perché non sappiamo chi l'ha scritta. Puoi anche presentare reclamo al Garante per la protezione dei dati personali.
Se devi segnalare un illecito

How we handle your data

Who the controller is
Alfredo Salvatori S.r.l., Via Aurelia 395/E, 55047 Seravezza (LU), Italy.
What we collect
- If you sign: the text of your idea, your company identifier, the date (not the time) and the channel you write from (Teams, QR code, tablet).
- If you choose anonymity: only the text and the date. We check that you are a colleague when you send it; after that, your name is not stored, nor the time, nor the channel.
- If you record a voice note: the audio is used only to get the text, which you read before sending. The audio is not kept.
- If you say how much time it takes: the frequency and duration you choose, both optional, which say nothing about who you are.
We ask you to describe problems and processes. If you write about a colleague, your idea stays visible only to Gabriele Salvatori and is never published.
Why
To improve the way we work: to understand what wastes time and to find solutions. The legal basis is the company's legitimate interest in improving its processes (Art. 6(1)(f) GDPR). Taking part is voluntary: not writing has no consequence at all.
Ideas are not used to assess people, neither the writer nor anyone named, and are never the basis for disciplinary action. We keep no participation statistics per person.
Who reads it
- Private and anonymous ideas: only Gabriele Salvatori.
- Public ideas: all colleagues, with your name.
- Technical providers, processing data on our behalf under contract: Microsoft, for hosting on Azure in the European Union, sign-in with your work account, voice transcription and text analysis (Azure OpenAI). The analysis may also be processed outside the European Union, on Microsoft's global infrastructure, with the contractual safeguards required by the GDPR. The analysis service receives only the text, never your name.
The role of artificial intelligence
An AI assistant reads the text and prepares a first reply, signed as such, and a summary for Gabriele. It makes no decisions: every decision about an idea is taken by a person.
How long we keep it
- The original text of an idea about a colleague, and any replies written from that text, are deleted after 30 days; only the description of the process problem remains.
- All other ideas are kept for 24 months and then deleted, except those adopted and shown in the gallery with the consent of whoever proposed them.
Your rights
You can ask for access, rectification, erasure or restriction, or object to the processing of data about you (Articles 15-21 GDPR), by writing to the HR administration. For anonymous ideas we cannot link a request to an idea, because we do not know who wrote it. You can also lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali).

Kaizen is not the channel for unlawful conduct. For that there is the whistleblowing channel, which can also be anonymous: My Governance.
